1. Acceptance of Terms
By requesting, accepting, or using any service from Boland Cleaning and Pest Control (BCPC), the Client agrees to be bound by these Terms and Conditions.
These Terms apply to all services rendered, including cleaning, pest control, quotations, and related work.
2. Call-Out and Quotation Fees
- A standard call-out fee of R650 is charged for site visits, quotations, or assessments.
- If a quotation is accepted but the Client later cancels the service, a 30% administration fee of the quoted amount will be payable.
- If a quotation is accepted but the Client reschedules the service, a 10% administration fee of the quoted amount will apply.
- Call-out and administrative fees are non-refundable.
3. Service Scheduling, Access & Waiting Time
- Clients must ensure timely and reasonable access to the property or work area at the scheduled time.
- If work is to be carried out within a gated estate, complex, or secured property, the Client is responsible for arranging access in advance.
- Where BCPC experiences extended waiting times or delays at security gates, reception areas, or access points exceeding 15 minutes, an additional waiting fee may be charged at BCPC’s discretion.
- BCPC reserves the right to reschedule or adjust service times if access delays prevent reasonable completion within the allocated slot.
4. Client Information and Invoice Accuracy
- Clients must provide correct billing and company details when requesting a quotation.
- If a quotation has already been accepted and the invoice details need to be changed (e.g., company name, VAT number, address, or contact details), an administration fee will apply to reprocess the invoice.
- BCPC is not responsible for any delays caused by incorrect or incomplete client details.
5. Scope of Work and Quote Accuracy
- If a quote is provided without a site visit and the actual scope of work differs from what the Client communicated (e.g., size, condition, infestation level, or materials), additional charges will apply to cover the revised scope.
- BCPC reserves the right to reassess and amend the quotation once the actual site conditions are inspected.
- Any changes in scope or additional work requested after the original quote has been accepted will result in extra fees, which must be approved before work continues.
- Quotes are valid for 14 days unless otherwise stated.
6. Payment Terms
- Full payment is due on the day of service, unless otherwise arranged in writing and agreed upon beforehand.
- Payment options: EFT, cash, or card (where available).
- Any unpaid invoices will attract a 10% monthly interest increase on the outstanding balance, calculated from the date of issue.
- Statements will be issued monthly for any overdue accounts.
- BCPC reserves the right to withhold or suspend services for accounts in arrears.
7. Cancellations and Rescheduling
- Cancellations or rescheduling must be communicated at least 24 hours before the scheduled service.
- Late cancellations or rescheduling within 24 hours may result in forfeiture of the call-out fee and additional penalties as listed above.
- Repeated cancellations may result in BCPC declining future bookings.
8. Loose Carpets, Upholstery, and Fabric Cleaning
- Loose carpets, rugs, and similar items are collected and cleaned at BCPC’s premises.
- Items will generally be returned within two (2) weeks, unless otherwise communicated due to drying conditions, workload, or special treatment requirements.
- While every effort is made to clean and restore items to the best possible standard, BCPC does not guarantee the removal of stains, marks, odours, or discoloration on:
- Carpets and rugs
- Upholstery
- Mattresses
- Curtains or drapery
- Certain stains (such as pet urine, rust, coffee, dye transfer, or water damage) may be permanent and are treated at the Client’s own risk.
- BCPC accepts no liability for shrinkage, colour loss, or fibre distortion resulting from prior chemical use, age, or pre-existing conditions.
9. Service Quality and Liability
- BCPC aims to provide professional, safe, and high-quality service.
- Should the Client be dissatisfied, any complaints must be reported within 24 hours after service completion to allow for reasonable assessment or correction.
- BCPC shall not be held liable for:
- Pre-existing damage or defects on property or furnishings.
- Normal wear and tear, or outcomes beyond its control.
- Any indirect, incidental, or consequential damages.
- All chemicals and products used are SABS-compliant and environmentally responsible, applied according to safety standards.
10. Photography and Social Media
- BCPC routinely takes photographs and/or short video clips of work performed for record-keeping, training, quality assurance, and marketing purposes.
- These images may be used on BCPC’s social media platforms, website, digital marketing, or promotional materials.
- No identifiable client information (names, addresses, or private content) will be disclosed without prior consent.
- By accepting our services, the Client grants BCPC permission to capture and use such visual media, unless the Client explicitly opts out in writing before or during the service.
- BCPC commits to handling all visual content responsibly and in compliance with the Protection of Personal Information Act (POPIA).
11. Client Responsibilities
- The Client must ensure pets, valuables, and sensitive items are secured prior to service.
- Power and water supply must be available on-site where required.
- For pest control, Clients must follow all pre- and post-treatment instructions issued by BCPC.
12. Privacy and Data Protection
BCPC complies with the Protection of Personal Information Act (POPIA).
- Client data will be used solely for invoicing, service delivery, and communication purposes.
- BCPC does not sell or share client information with third parties without consent.
- By engaging our services, the Client consents to the collection and lawful processing of personal data.
13. Force Majeure
BCPC will not be held responsible for failure or delay in performance due to events beyond its control, including but not limited to natural disasters, strikes, power failures, or road closures.
14. Governing Law
These Terms are governed by the laws of the Republic of South Africa.
Any disputes arising from these Terms or related services shall be subject to the jurisdiction of the Magistrate’s Court of the Western Cape, even where the claim amount exceeds the court’s normal monetary limit.
15. Amendments
BCPC reserves the right to update or modify these Terms and Conditions at any time. The latest version will always be available on our website.
